Everything is made of small things.

Particles make atoms. Atoms make molecules. Details make a company. Defining Elements handles the small things — IT, marketing, and AI implementation — so your business holds together.

The thesis

Small details,
correctly bonded.

Most business problems aren’t big. They’re a hundred small things — a firewall rule, a backup that actually runs, a prompt that saves an hour a day — handled well or not handled at all. For twenty years, clients have called Defining Elements to get the details right.

  1. Particles
  2. Atoms
  3. Molecules
  4. Materials
  5. A company

The practice areas

Three elements.
One firm.

Parallel disciplines under one roof — not a menu of vendors. The firm that secures your network builds your website and writes your prompt library, so nothing gets lost between specialists.

23

AI Implementation

Practical AI adoption for working businesses: tool selection, guardrails, and custom prompt libraries built around how your team actually operates.

  • Custom prompt libraries for your workflows
  • AI tool selection and rollout
  • Data-privacy and confidentiality guardrails
  • Staff training and adoption support
  • Document analysis and drafting workflows
  • Ongoing tuning as models evolve
06

IT Infrastructure & Security

Design, implementation, and management of secure IT environments — the systems your business runs on, kept stable and protected.

  • Microsoft 365, Exchange & SharePoint administration
  • Servers, workstations & mobile device support
  • Network & firewall management — Fortinet, SonicWall, Cisco, Ubiquiti
  • Backup regimes & disaster recovery
  • Cybersecurity protocols & compliance support
  • Vendor management & user support
06

Marketing & Communications

Websites, campaigns, and media that make your firm look as good as its work — built and photographed by the same hands.

  • Website design, hosting & maintenance
  • Print, email & social media campaigns
  • Architectural photography
  • Aerial photography & video
  • Video capture & editing
  • 3D design & interactive media

Ai · The newest element

AI that does
real work.

AI implementation isn’t buying licenses. It’s finding where language models actually save your team time, building the guardrails to use them safely, and writing the prompts so results are consistent — then training your people to run them.

Case study · Legal

A Texas litigation firm

A firm-wide prompt library that made results consistent across attorneys and staff, with confidentiality built in from the first draft.

Case study · Commercial Real Estate

A brokerage operation

Prompt tooling that helps brokers turn hours of routine writing and research into minutes — in the firm’s own voice, not a bot’s.

Case study · Construction

An electrical contractor

A library built for project managers who would rather run the job than write about it — the paperwork moves faster, the job stays the focus.

Specifics stay confidential, as they should. Ask, and we’ll walk you through what a library could look like for your operation.

How an engagement runs

Implementation is a sequence, and the order matters.

Assess

Sit with your team, map where the hours go, and identify where AI genuinely helps — and where it doesn’t.

Pilot

Select tools, set data-privacy guardrails, and prove value on one real workflow before spending on anything else.

Build

Write and test the prompt library against your actual documents, templates, and voice.

Train & iterate

Get your staff fluent, then keep the library tuned as models and your business change.

The firm

Built on
details.

Defining Elements was founded in San Antonio in 2006 by Jason Bohannon. Clients across legal, commercial real estate, construction, and professional services rely on the firm for work that would normally mean coordinating three or four vendors — infrastructure, media, and now AI, handled under one roof.

The firm’s standards were set in courtrooms: five years of trial presentation work in million- and billion-dollar litigation, where a mis-synced deposition clip or an unredacted exhibit is not a small mistake. That bar carried into everything since — network architecture, web systems, media production, and AI implementation.

We run the systems we recommend. The firewalls, the Microsoft 365 tenants, the backup regimes, the AI tools — they run our own operation before they run yours.
